You must read and accept our 'Terms of Use' and 'Data Protection and Privacy Policy' before continuing the registration process.


By using or accessing the System you agree to be bound by and abide by these terms of use. Your access to and use of the System is also subject to Imperial Health Charity’s ‘Data Protection and Privacy Policy’, which explains how Imperial Health Charity protects and uses the information you provide us with.

1. Definitions

In these terms of use:

1.1 'Content’ means all content that is accessible to you and other users on the System.

1.2 'System’ means Imperial Health Charity’s online grants application and management system.

2. Your use of the System

2.1 Your use of the System must comply at all times with these terms of use.

2.2 Imperial Health Charity grants you a non-exclusive non-transferable right to access the System and, subject to these terms of use, to register as a user of the System;

2.3 You agree that Imperial Health Charity may without warning, at any time, at its absolute discretion, and without liability to you:

a. reject your application to be a registered user of the System; and/or

b. remove you as a user of the System; and/or

c. prevent you from accessing any part of the System, and/or

d. delete you as a user, your user account and/or any information held on the System.

3. Registration

3.1 You must register as a user of the System to apply for Imperial Health Charity grants and manage any successful applications.

3.2 Imperial Health Charity may at its absolute discretion accept or reject your application to register as a user of the System.

3.3 When you register as a user of the System you must select a username and password to access your user account. You are responsible for maintaining the confidentiality of your password. Your username must not be offensive; and Imperial Health Charity may at its absolute discretion determine whether a user name is offensive or otherwise inappropriate.

3.4 You are responsible at all times for your user account and for any actions that take place using your account. The information that you provide when you set up your account must be true and accurate. If Imperial Health Charity suspects that the information provided is inaccurate or otherwise misleading then Imperial Health Charity may at its absolute discretion suspend or terminate your account, remove you as a user of the System, or take any other form of action that Imperial Health Charity deems appropriate.

3.5 You must immediately inform Imperial Health Charity of any unauthorized use of your password, your user account or any other breach of security in connection with the System. You must ensure that you log-out of your account each time you finish using the System.

4. Intellectual property rights – Content

4.1 You acknowledge that:

a. all copyright, trademarks and other intellectual property rights in the Content (other than in your contributions); and

b. the names, images and logos held on the system, are either owned by Imperial Health Charity, or are licensed to Imperial Health Charity by third parties.

4.2 Nothing in these terms of use transfers to you any right, title or interest (including any intellectual property rights) in relation to the Content.

4.3 You may not use, reproduce or otherwise make available to any other party the Content without the prior written consent of Imperial Health Charity.

5. Prohibited use of the System

5.1 You must not, at any time:

a. publish, communicate or adapt any of the information or Content accessible on the System;

b. make copies in any form of all or parts of the Content other than as reasonably required for your personal non-commercial use;

c. register multiple user profiles;

d. adapt, translate, reverse engineer, dissemble or decompile the System or any part of the System;

e. reformat or frame any part of the web pages that form part of the System;

f. use the System to advertise or promote any commercial services, or disseminate spam; or

g. use the System for any purpose that is unlawful, promotes illegal activity, breaches any applicable code of conduct, infringes third party rights or is otherwise prohibited by these terms of use.

5.2 Imperial Health Charity can decide at its discretion to suspend or revoke user accounts.

6. Reporting issues or making complaints

6.1 If you experience any difficulties with the System please email Imperial Health Charity at:grants@imperialcharity.org.uk

6.2 If you find any material that you believe is incorrect, inappropriate or infringes the intellectual property rights of another party then please contact the Senior Grants Manager using the contact information contained in this clause 6.

7. Liability

7.1 To the extent permitted by law, Imperial Health Charity will not be liable (including in negligence) for:

a. any loss of profits, loss of revenue, loss of data, loss of use of data, or any direct, indirect or consequential loss or damage, incurred by or awarded against you or any other person arising directly or indirectly from your access to or use of the System; or

b. any cost, loss, liability or expense arising from death, personal injury or damage to property (including damage to your software, hardware or data) resulting directly or indirectly from your access to or use of the System.

7.2 You indemnify and hold Imperial Health Charity, its employees, officers and agents harmless from any claims, liability, expenses, losses, damages and costs (including legal costs and expenses) (“Loss”) incurred by any of those indemnified where such Loss was caused directly or indirectly by your access to or use of the System.

8. General

8.1 You acknowledge that you use the System entirely at your own risk.

8.2 All Content is provided on an “as is” basis only. Imperial Health Charity does not provide any warranty that the System or any Content will meet any of your needs or requirements or that it will be complete, error free, accurate or that it will be delivered without interruption, fault or error.

8.3  After the deadline for each grants round has passed Imperial Health Charity may at its absolute discretion alter amend or change the format nature and requirements of any applications process or withdraw any grants programme offered via the System. Users with unsubmitted applications at that time may be required to begin the application process again in order to comply with any such alterations amendments or changes.

8.4 If you receive any advice or information through the System, this does not create any additional form of warranty above what has been set out in these terms of use.

9. Changes to these terms of use

Imperial Health Charity reserves the right to amend these terms of use from time to time. If you do not accept a change made by Imperial Health Charity to these terms of use your only remedy is to cease accessing the System.

10. Personal information

10.1 All data gathered in connection with the System will be held securely by Imperial Health Charity or an organisation on behalf of Imperial Health Charity in accordance with the Data Protection Act 1998.

10.2 For more information about our protection and use of data please read our Data Protection and Privacy Policy which you will be asked to indicate agreement to when you apply for an Imperial Health Charity grant.

11. Governing law

These terms of use shall be exclusively governed by and construed in accordance with the laws of England and Wales and you irrevocably submit to the exclusive jurisdiction of the courts of England and Wales.


When you apply for a grant from us we may use and hold the information you provide during assessment and during and after the life of your grant (if awarded) to administer and analyse grants and for our own research, statistical and internal reporting purposes. We may also use this information for the specific purpose of promoting and publicising the work of Imperial Health Charity and its grants programmes.

We may give copies of some or all of this information to individuals and/or organisations we consult when assessing applications, administering and monitoring grants and evaluating funding processes and impacts. These may include accountants, external evaluators, trustees and committee members.

We may share information with organisations and individuals with a legitimate interest in Imperial Health Charity grants applications as we have a duty to see that charity funds are properly used and only for the purposes for which they are intended. We may also share information for the specific purpose of preventing and detecting fraud, money laundering and crime.

We may use personal information provided by you in order to conduct appropriate identity checks. Personal information that you provide may be disclosed to credit reference or fraud prevention agencies, which may keep a record of that information.

If you provide false or inaccurate information in your application or if at any time in the life of any grant we award fraud is identified, we will provide details to fraud prevention agencies to prevent fraud and money laundering. You can obtain further details explaining how the information held by fraud prevention agencies may be used by emailing grants@imperialcharity.org.uk. 

We recognise the need to maintain the confidentiality of vulnerable groups. Their details will not be made public in any way, except as required by law.

Your acceptance of this policy confirms that you understand our obligations under the Data Protection Act 1998 and that you accept that as long as our actions conform to the relevant law we will not be liable for any loss or damage that you suffer as a result of us fulfilling our obligations.
